Proper collection and shipping of samples from heat transfer systems:
Regular analysis of heat transfer oils is essential to ensure the long-term safe and efficient operation of heat transfer systems. A meaningful result is only possible if the collected sample is correct and representative. These instructions describe the entire sampling and shipping process based on relevant regulations (Operational Safety Ordinance, DIN 4754-1, VDI 3033):
Sampling point on the system
The heat transfer system should be equipped with a suitable sampler, which must be thoroughly flushed before filling. This ensures that the sample actually comes from the main stream of the system and is therefore representative. If the heat transfer medium is operated at temperatures above 100 °C, a cooling device is required to cool the sample to below 80 °C before collection. This prevents evaporation of light boilers and moisture.
Sample container
Please use aluminum containers (625 ml) for sampling. Fill the container to about 90%. These containers are equipped with a self-sealing and self-locking lid to prevent leakage. Ensure the container is undamaged and suitable for shipping. Upon request, Bolztherm will gladly provide appropriate sample containers.

Safety precautions
It is important to ensure your safety when collecting the sample. Wear heat-insulated protective gloves to protect yourself from burns and safety goggles or a mask to protect yourself from vapors or splashes.
Sample collection
The sampling point should be thoroughly flushed before filling. This ensures that the collected amount of heat transfer fluid comes from the main stream of the system and is representative. The sample can be taken from the main stream either from a shut-down and cooled system or during operation at operating temperature. Before filling, the sample should be cooled to below 80 °C to prevent the evaporation of light boilers and moisture. Fill Bolztherm sample bottles (approx. 625 ml) to about 90%.
Shipping

Hazardous materials
You can find out whether your heat transfer medium is classified as hazardous material in its safety data sheet. Hazardous materials can be shipped in limited quantities (LQ) in parcels. The outer packaging must be labeled accordingly in accordance with ADR dangerous goods regulations. Two LQ labels and two orientation arrows (Fig. 2) must be affixed to opposite sides of the outer packaging. The total weight of the shipment must not exceed 30 kg. The maximum allowable fill volume depends on the UN number and should be confirmed with your hazardous materials officer. Sample containers provided by Bolztherm may be filled with any Bolztherm heat transfer oil.
